This policy explains how subscription payments, usage charges, currency, renewals, cancellations, and refunds work for Aqari CRM.

It forms part of our Terms of Service. One policy for all GCC markets — the same rules apply whether your agency is registered in the UAE, Saudi Arabia, Qatar, Kuwait, Bahrain, or Oman.


1. What you pay for

1.1 Subscription (primary fee)

A recurring monthly platform fee based on your plan (e.g. Starter, Professional, Agency). Current prices are shown on our pricing page and in the application at checkout.

Prices may change with notice as described in Section 8.

1.2 One-time setup fee

A setup fee is charged once when you first activate a paid subscription. It is not charged again on renewals or plan changes unless we agree otherwise in writing.

1.3 Included usage

Each plan includes monthly allowances for certain metered services, such as:

  • WhatsApp outbound messages (via the Platform)
  • Voice bridge call minutes
  • SMS messages (where enabled)
  • Aqari Sara AI actions (fair-use limits per plan)

Allowances reset each calendar month (Asia/Dubai timezone). Usage within included allowances is covered by your subscription and is not charged again as overage.

1.4 Usage overage

When you exceed included allowances, we bill usage overage:

Example: Provider cost AED 100, Starter plan (29%) → you pay AED 129 overage.

Provider costs are set by telecommunications partners (e.g. Twilio, Meta) and may change when they change their rates.

1.5 What we do not bill

  • Meta / Google / other advertising spend — you pay advertisers directly.
  • Property transactions — we are software only, not a broker.

2. Currency and display prices

2.1 Charging currency

All card payments are processed in UAE Dirhams (AED) via Stripe, unless we explicitly agree otherwise in writing.

2.2 Local currency display

For your convenience, the application may display approximate prices in your agency’s GCC currency (e.g. SAR, QAR, KWD) based on reference exchange rates. Display amounts are estimates for reference only.

Your card is always charged in AED at checkout and renewal. Any bank foreign-exchange or conversion fees charged by your card issuer are your responsibility.

2.3 Taxes

Prices shown may exclude VAT unless stated. UAE VAT (5%) or other applicable taxes will be added where required by law.


3. First payment vs monthly renewals

Example (Professional):

  • First payment: AED 4,799 (AED 4,000 setup + AED 799 month 1)
  • Month 2 onward: AED 799 per month until cancelled

You authorise us to charge your saved payment method for subscription and approved usage amounts.


4. Payment method and billing cycle

4.1 Payments are collected by Stripe using credit or debit card (and other methods Stripe may support in your region).

4.2 Subscriptions renew automatically each month on your billing anniversary until you cancel.

4.3 Usage overage for a calendar month is calculated from metered events in the CRM. Overage may be invoiced and charged to your saved payment method on or after the first day of the following month (Asia/Dubai), unless stated otherwise in your checkout confirmation.

4.4 Receipts and renewal confirmations are emailed to your account administrator.

4.5 You can update your payment method through the billing portal in the CRM (Manage subscription).


5. Usage dashboard and estimates

The CRM shows estimated usage and charges for the current period. Figures are estimates until final reconciliation. Dry-run or test mode usage is not billed.

Final amounts are based on recorded metered events and provider costs.


6. Failed payments

If a payment fails:

  1. We will notify you by email and/or in-app notice.
  2. You should update your payment method promptly.
  3. We may retry collection through Stripe.
  4. If payment remains outstanding, we may suspend access to paid features after reasonable notice.
  5. You remain liable for all outstanding subscription and usage amounts.

Reactivation after suspension may require successful payment of all amounts due.


7. Plan changes

7.1 Upgrades typically take effect immediately; charges may be prorated through Stripe.

7.2 Downgrades may take effect at the next billing period depending on product configuration.

7.3 Setup fee already paid is not charged again when changing plans.

8. Price changes

We may change subscription prices or usage markup percentages with at least 30 days’ notice by email and/or in-app notice.

Changes apply from the first billing period after the notice period ends. Continued use after the effective date constitutes acceptance.


9. Cancellation

9.1 How to cancel

You may cancel your subscription at any time:

  1. Log in to Aqari CRM as an organization administrator.
  2. Go to More → Billing (or Subscribe / billing portal).
  3. Click Manage subscription to open the Stripe customer portal.
  4. Follow Stripe’s steps to cancel auto-renewal.

Alternatively, email [email protected] from your registered admin email with your agency name and request to cancel.

9.2 When cancellation takes effect

  • Cancellation stops future automatic renewals.
  • You generally retain access until the end of the current paid billing period already charged, unless we suspend earlier for breach or non-payment.
  • After access ends, your workspace may be deactivated. Export any data you need before cancellation.

9.3 No cancellation of past usage

Cancelling does not reverse usage overage or telecommunications costs already incurred for messages or calls sent through the Platform.

9.4 Reactivation

You may resubscribe later subject to then-current prices and setup policies. A new setup fee may apply if we treat the account as a new commercial activation.


10. Refund policy

10.1 Subscription fees

Monthly subscription fees are generally non-refundable, including if you cancel mid-month, except:

  • Where a refund is required by applicable law; or
  • Where we expressly agree in writing (e.g. duplicate charge or proven billing error on our side).

We do not provide pro-rata refunds for unused days in a billing period unless required by law or agreed in writing.

10.2 Setup fee

The one-time setup fee is non-refundable once checkout is completed and onboarding has begun, except for duplicate charges or billing errors confirmed by us.

10.3 Usage overage

Usage overage charges are non-refundable once telecommunications services have been delivered (messages sent, calls connected, etc.), except for verified billing errors.

10.4 Free trials and pilots

If we offer a free trial or pilot, no refund applies (no payment taken). When the trial ends, you must subscribe to continue paid access.

10.5 How to request a refund review

Email [email protected] within 14 days of the charge with:

  • Agency name and admin email
  • Invoice or Stripe receipt reference
  • Reason for the request

We will review and respond within a reasonable time. Approved refunds are processed to the original payment method via Stripe.


11. Chargebacks

If you dispute a charge with your bank without contacting us first, we may suspend your account pending investigation. Fraudulent chargebacks may result in permanent termination.


12. Fair use

Included allowances are for normal business use by your agency. We may throttle or suspend usage that is abusive, fraudulent, or harmful to platform stability or third-party providers.
